About the Czech Development Agency (CzDA):

The Czech Development Agency (CzDA) is a government organizational unit subordinate to the Ministry of Foreign Affairs of the Czech Republic, established by Act No. 151/2010 Coll., for the implementation of international development cooperation (IDC).

CzDA manages an annual budget of approximately CZK 420 million from the state budget and implements development projects in partner countries.

Position Overview:

We are looking for a proactive, organized, and service-oriented Office Assistant to ensure the smooth day-to-day running of the CzDA project office in Kyiv. The Office Assistant will be responsible for administrative, procurement, and logistical support, maintaining efficient office operations, and assisting the project team in implementing development activities in Ukraine.

 

Key Responsibilities:
  • Manage daily operations of the Kyiv office and ensure an efficient and well-functioning working environment;
  • Oversee office procurement processes (supplies, services, office equipment) in line with CZDA and local procurement procedures;
  • Maintain and update office inventory and asset registers;
  • Support logistical arrangements for missions, meetings, trainings, and official visits (travel bookings, accommodation, transport, venues, catering, etc.);
  • Liaise with local suppliers, landlords, and service providers to ensure proper office maintenance and service delivery;
  • Coordinate communication with local authorities, partners, and institutions as required;
  • Support financial administration related to office expenditure (in cooperation with the Local Financial Officer);
  • Manage correspondence, filing, and document archiving according to agency standards;
  • Contribute to internal coordination and reporting, ensuring timely flow of administrative information;
  • Perform other administrative or logistical tasks as requested by the Country Coordinator or project management team.

 

Requirements:
  • Ukrainian citizenship or valid work permit for employment in Ukraine;
  • Minimum 2 years of relevant professional experience in office administration, logistics, or procurement, preferably in an international organization or project environment;
  • Professional knowledge of Ukrainian and English (both written and spoken);
  • Strong organizational, communication, and problem-solving skills;
  • Proficiency in MS Office (Word, Excel, Outlook) and experience with procurement or inventory systems;
  • Ability to work independently and manage multiple tasks efficiently;
  • Reliability, discretion, and commitment to professional ethics;
  • Familiarity with donor-funded projects or development cooperation is an advantage.
